Visit for young people checklist

Guidance for planning a visit to the LSE for young people

The following checklist is put together by the WP Team to advise colleagues across the school on preparing for a group of young people visiting the LSE. If you have any further questions, please contact the Team at widening.participation@lse.ac.uk.

Safeguarding

  • Read the LSE Safeguarding policy.
  • Contact the School’s Designated Safeguarding Lead which is the Chief Operating Officer to inform them of the visit or follow local arrangements 
  • Review the WP Teams safeguarding policy. 
  • The LSE WP Team has a staff code of conduct that all staff working on WP activities are expected to abide by. It is advisable to read this before hosting a visit with young people. 

Risk Assessment

  • The WP Team have an on-campus event risk assessment and are happy to share this as a base for you to update with your own event details. 
  • Update the risk assessment for the visit and contact Health and Safety to get this approved.  

Staffing

  • Ensure a minimum of two LSE staff members plus Student Ambassadors to support if required.
  • Ensure a ratio of 1:10 staff to young person, see NSPCC guidance.
  • If possible, a member of staff should have an enhanced DBS check with child barred list. Contact HR.Admin for assistance on getting a DBS check.

Accessibility

  • Check if any visitors attending have access requirements.
  • If a visitor has a physical disability, they may need a Personal Event Evacuation Plan (PEEP) put in place. Contact the fire wardens in Estates for support on putting this together.
  • If a student has a physical disability, review the rooms you have booked and alter the booking, if necessary, e.g. to remain on the ground floor.
  • Check the LSE accessibility webpages and contact Disability and Wellbeing for further guidance on ensuring the visit is inclusive for anyone who has disclosed a disability. 

Cultural Considerations

  • Give pupils an opportunity to use the prayer room – usually make this known at the start of the session and designate a member of staff or student ambassadors to escort anyone. 
    • If only one pupil wants to visit, ensure you avoid a 1-2-1 situation with the young person.
  • Does the event clash with Ramadan and if so, consider the following:
    • How many students are observing Ramadan
    • If providing catering, book an alternative space for fasting students to sit. 

    • Offer the use of prayer room facilities 

    • Ensure regular comfort breaks 

    • Consideration of event times – students may be breaking their fast.

Planning your visit

  • Factor time into your schedule to set up the room and brief the Student Ambassadors
  • Choose a meeting location on campus that is easy for the group to find and convenient for their direction of travel 
  • Ask Student Ambassadors to wait at the meeting point to welcome the group and escort to the room you are using. 
  • For an in-person event, we always recommend featuring a campus tour – this is often the most highly rated part of a visit! Student Ambassadors are trained to deliver campus tours. 
  • Involve current LSE students in all parts of the event e.g. welcoming the group, leading ice breakers, facilitating elements of workshops, Q&As, sitting with the group at lunch or during breaks for continued conversation, putting together presentations to share their own experiences of university life and study. 

Use of Student Ambassadors

Student Ambassadors are trained, and DBS checked undergraduate students who undertake a range of paid work activities for LSE's Widening Participation (WP) and Student Recruitment and Study Abroad (SRSA) teams for prospective students and offer-holders before they start at LSE. Work opportunities include, campus tours, facilitating sessions with young people, Student Ambassador Q&A panel, general online and in person event support. They follow a strict Code of Conduct when working on any event. 

Student Ambassadors are paid at a rate of £17.23ph and are paid monthly via a timesheet submitted by the WP Team. In order to process your request, we will require a budget code. 

If you would like to book Student Ambassadors, please send us a request at least 3 weeks in advance and provide the following details:

Desirable demographics of Student Ambassadors: e.g. students from a certain academic department, who wish to pursue a certain area of work, who have an affiliation with an interest/area/culture etc. 

Role of the Student Ambassador: Please provide more information about the role the Student Ambassador will undertake.
