What is planned and unplanned maintenance?
Planned maintenance is works scheduled in for example carrying out routine job instructions via the Helpdesk, servicing boilers and lifts, fire alarm testing, cleaning light fittings etc.

Unplanned maintenance work is reactive maintenance when maintenance equipment and/or fixtures and fittings break down. It can also be a flood, gas leak or an emergency.

What is BEMS?

A computer-based control system that controls the building's mechanical and electrical equipment such as:

  • Heating
  • Cooling
  • Ventilation
  • Temperature & carbon dioxide levels,
  • Lighting
  • A BEMS consists of software and hardware. Purpose: comfort, safety and energy efficiency. Systems linked to a BEMS typically represent 40% of a building's energy usage.

How many maintenance technicians are on site at any one time?

There are normally 3 supervisor and 17 technicians from 8 – 4pm Monday to Friday. From 4 – 11pm there is 1 electrician and another trade Monday to Friday.

How many contractors are there?

67 contract companies that carry out specialist things such as fire alarm, boilers, AV servicing, lifts etc.

What happens when something breaks down?

We try and fix it ourselves by sending a technician along and if we find it needs a specialist we call out the contractor.

What water treatments do we do?

We employ a specialist contractor who takes quarterly samples from hot and cold water, heating and AC systems, any problems are dealt with and we are alert of any problems and they are dealt with.

Every month we take water temperatures. All tanks are cleaned out every year and the whole system is chlorified. 

Cooling towers have a daily check as this is a high risk area.

What counts as an maintenance emergency?

Gas leak, passengers trapped in lifts, floods, plumbing related flooding, weather related flooding, loss of all water or power, fire. In the event of a maintenance emergency please call ext 2444.

How can I request a heater/fan?

Please complete the Service Request Form| which will be directed to the Estates Helpdesk.

I have ordered a water cooler for my department, will Maintenance maintain it for me?

If a water cooler has been purchased a service agreement should be set up with the company. Unfortunately Maintenance cannot maintain water coolers.

Please complete the relevant Service Request Form|. This will ensure your request is logged in the correct manor and can be dealt with speedily.

How does room temperature work?

When the average outside temperature drops below 17°C the heating in LSE buildings is turned on. In accordance with UK Health and Safety requirements and environmental recommendations the rooms are heated to 19-21°C degrees to provide a comfortable environment and reduce energy usage. Do you change the time on clocks?

The Maintenance Team change the clocks in communal areas of buildings. If you see a clock in a communal area which is telling the wrong time please report it via the Service Request Form|. For more information please see Clock Procedure| (PDF)
