Skype for Business and Telecoms

Can I switch it off?

Yes. It’s the difference between choosing Close or Exit. Close simply closes the window but leaves S4B running in the background so that you will still receive alerts. Exit shuts down the application.

 

To exit S4B:

  1. In the Skype for Business main window, click the arrow next to the Options (cog) button.
  2. Click File.
  3. Click Exit.

Who has access to my S4B conversations?

 

Skype for Business and other informal communication tools such as Yammer are useful ways of communicating with others around the School.

 

Although branded as informal, these tools still contain recorded information which may be subject to a Data Protection or a Freedom of Information request. By default, Skype for Business saves your IM conversations as part of the Conversations in Outlook 2010 or Outlook 2013.

 

Please therefore keep in mind that whatever you write in Skype for Business could be disclosed under UK law. In this regard, you should search these tools when a request is received. Do make sure that whatever you write using these tools are things you would be happy for a third party to see.

I already have Skype and use Skype at work – what’s the difference?

S4B is for internal LSE communications only and uses the LSE Outlook Address book. To communicate with an external contact you must use Skype.

Can I contact those outside of LSE on S4B?

At this moment in time you cannot Instant Message an external contact using S4B, but you can hold meetings using S4B with external contacts who are also using S4B. For instant messaging with external contacts you must still use Skype (available on LSE computers).

Can I make calls with S4B? 

Yes, you can make calls to LSE numbers with S4B, but you will need a headset. See Can I contact those outside of LSE on S4B?  for advice on calling external users.

How do I order a headset so I can make voice calls/participate in videoconferences?

Through Office Depot by following the normal process for ordering stationery.

I am not working on a Windows device – how can I get S4B?

Mac Users:  S4B is currently at the Preview release stage as of 26/04/16. LSE will continue to use Lync for OS X whilst waiting for it to go into production. For guidance on installing Lync for Mac 2011, see Installing Microsoft Lync for LSE Macs

 

iOS users: download a copy from the App Store.

 

Android users: download a copy from the Play Store.

Can I use S4B from home?

Yes, you will need to install the software.

  1. Sign in to your LSE Office 365 account.
  2. Go to the top right corner of the page and look for the Install Software option.
  3. Click Other installs, select Skype for Business from the left hand menu and follow the instructions.

Is S4B accessible via remote desktop?

Not directly, but you can access it via webmail or download a copy to your device or PC. 

 

To access S4B via webmail, log in and click on the S4B icon at the top right of the screen.

S4B is not updating my availability – where does it read this and how can I change it?

The automatic changing of your availability status is taken from your Calendar. Ensure you have the following setting switched on:

  1. Click the Options (‘Cog’) button
  2. Click Personal in the left navigation pane.
  3. Click Update my presence based on my calendar information.

Who is eligible for a School-sponsored mobile device?

School-sponsored mobile devices are only issued to members of staff directly employed by LSE.

How much does it cost?

Your department will need to pay an upfront cost for the mobile device. This amount will depend on the type of device supplied. Some devices may be at no cost. In addition, there will be a monthly charge for calls made and data downloaded.

 

For voice/text only devices there is no monthly rental; only voice calls and text messages are charged.

How much data can I use and what happens if I go over my limit?

Where data downloaded in a month exceeds the limits of a data add-on plan, then the excess data will be charged at the Out of Bundle rate. You can continue to use data services after reaching the financial cap but if Orange considers the usage to be excessive, Orange reserves the right to restrict access for the remainder of that billing cycle, and to migrate the user to a more appropriate service plan if excessive usage continues.

How can I access my IMEI number?

In most cases, you can determine your device's unique identifier (or IMEI number) by dialling * # 06 # on your handset. The number should be displayed on the screen.

 

If you need help, please contact telecoms@lse.ac.uk.

 

You should keep a separate note of your IMEI number in case you lose your handset or it stops working.

Can I use my phone to access the internet/email?

To have access to the Internet/email your mobile device will need to be a Smartphone or an iPhone. Discuss your requirements with the IT Service Desk, who will recommend a device suitable for your needs.

Can I have an Apple iPad?

iPads can be purchased using the School’s normal IT equipment procurement procedures. You can purchase an iPad with or without mobile broadband so you should discuss your requirements with the IT Service Desk, who will be able to advise you on the package most suitable for your needs. In all cases, a business justification may be required.

 

There are three ways in which you can purchase an iPad:

  • Purchase your iPad directly from Apple
    This does not come with a mobile broadband package as standard, but the iPad is capable of connecting to wifi. If you are unlikely to need mobile broadband in the future, a wifi-only iPad is available. If you think you may want a mobile broadband package at a later date, a wifi + mobile broadband capable iPad will be necessary. Mobile broadband can then be purchased with one of LSE's standard, 30-day rolling mobile broadband tariffs with Orange (see FAQ: Can I obtain mobile broadband for my laptop?).

  • Purchase your iPad from Orange with the ‘Legacy’ tablet tariff
    This tariff includes a 24-month minimum subscription 2GB data bundle for internet usage on the go and offers a £275 discount off the normal iPad purchase price accordingly. Although this tariff does not offer a range of choices, the monthly subscription cost is lower than the Orange ‘New’ tablet tariff. However, there is an out-of-bundle rate for if you go over your monthly download limit. The cost is £40 per additional GB downloaded and there is no cap on this excess charge.

  • Purchase your iPad from Orange with the ‘New’ tablet tariff
    This offers greater flexibility with a wider range of data bundles for internet usage on the go (from 1GB a month to 32GB a month) and the option of faster 4G connectivity. Opting for a plan from this tariff gives a £300 discount on the normal purchase price of the iPad. The monthly subscription costs vary depending on the bundle you choose, as does the out-of-bundle rate for if you go over your monthly data limit, however there is a cap on this excess charge.

Can I have an Apple iPhone?

Apple iPhones are available, however, you need to discuss your requirements with the IT Service Desk who will recommend a device suitable for your needs.

 

Your department will be committing funds from their budget, therefore, we will also ask the budget holder to sign the Mobile Equipment Declaration Form stating that they agree to pay for all the costs associated with your device.

What happens when I leave the school can I keep my phone or number?

You must return the mobile device to your departmental administrator or head of department before you leave the School.

 

The number remains the property of the School and cannot be transferred for personal ownership. You should make the necessary arrangements to ensure that people you wish to remain in contact with have alternative ways of reaching you.

I've lost my phone or it was stolen what should I do?

Handsets that are lost or stolen must be reported immediately to Information Management and Technology: telecoms@lse.ac.uk or telephone 020 7107 5039 (an out-of-hours voicemail service operates) so that the handset can be deactivated.

 

It is strongly recommended that users keep a separate note of their handset's IMEI number, which will need to be provided to the operator in order to deactivate the handset. This number can be obtained by following the instructions that came with the handset or by contacting Information Management and Technology.

 

Orange offer comprehensive insurance protection for tablets and phones if they are lost, stolen or damaged. The warranty provides cover for a maximum of 26 months for the repair or replacement of the mobile device if it suffers from electrical or mechanical breakdown.1

  • Replacement phones are normally dispatched within 24 hours of any claim being agreed
  • The insurance provides worldwide coverage; wherever you are, you are covered

How can I access LSE resources from my mobile phone?

At LSE you can check your email, connect to the wireless network and check PC availability on campus with your mobile phone.

 

Please check with your mobile network any data usage charges that may be incurred in the UK and abroad if you intend to use your mobile provider's data connection.

I want a new phone or PDA and I have not had a school provided one before

Please follow these steps:

 

1. Check that your department will pay for your device out of the departmental budget. You should speak to your departmental manager or head of department as appropriate.

 

2a. If you only need a mobile phone to make/receive voice calls and texts, contact the Information Management and Technology: telecoms@lse.ac.uk

 

2b. If you need to use your phone for other features, such as email or accessing the web, discuss your requirements with the IT Service Desk.

 

3. Once we understand what you need, we will recommend a suitable handset and monthly call/data plan. To help you understand what will be provided and the total cost to your department, we will summarise this in the Mobile Equipment Declaration Form (.xlsx)

 

You will be asked to accept this form to acknowledge that you've read the Policy on the use of mobile telephony equipment at LSE and agree to the Conditions of Use of IT Facilities at LSE.

 

We will also ask the budget holder to approve expenditure by clicking on the Approve or Reject buttons in the email so that they agree to pay for all the costs associated with your device.

 

4. Once the form has been approved, Information Management and Technology will order the device from Orange (the School's contracted mobile telephony supplier) and we will contact you when your new handset arrives (this should normally be within 5 working days).

 

5. If your device requires connection and synchronization with your PC/Laptop, then the IT Service Desk will make arrangements to set this up for you.

Can I use my own mobile device?

You may choose to use your personally owned device for work-related activity but before doing so you should consider the following points:

  • Typically, the School will only reimburse calls made on personal mobile devices in exceptional circumstances and in all cases, appropriate evidence* of use must be provided;
  • use would still be governed by the School's Conditions of use of IT facilities and the School may reasonably request access to LSE owned data held on any personally owned device;
  • users should check that their own personal contractual agreement permits such use;
  • any LSE-owned or derived data should be appropriately secured. Further guidance can be found at Information Security or from the School's Information Security Manager.

*Appropriate evidence is an itemized bill showing the actual work-related calls made and cost incurred. Please note that the School does not reimburse monthly line rental charges.

Can I use my phone abroad? (and if so what does it cost?)

You are able to use your phone abroad but you must be aware of the increased usage charges. These will be greater than the charges in the UK and will be dependent on the country you are visiting.

 

Whilst abroad you will incur additional charges when you answer any voice call, but the charge will be dependent on the locations of the calling and called devices. Check the country you are going to and the associated costs using the Orange International Cost Checker.

 

Information Management and Technology: telecoms@lse.ac.uk will be able to advise you and ensure that your mobile is correctly configured for roaming in your chosen destination.

Data is only available whilst roaming when a connection is made to a partner company. The roaming partners list (.xlsx) shows the partners that Orange have GPRS agreements with in every country. If there is an issue, you will be asked to switch networks where possible to determine if the issue is with the network or the device.

 

To manually select a network:

 

Go to your device's Settings > Carrier > untick Automatic and choose a network.

 

Reporting issues

 

Users can either call Orange directly on 07973 100 158 or LSE on 020 7107 5039 (an out-of-hours voicemail service operates) for support. Any connection issues are best to report on the day as Orange cannot diagnose faults that are not urrent due to access to the network.

 

Roaming device data bundles

 

You are strngle recommended to check your data usage prior to travelling to ensure that you are not surprised by the increased cost of roaming data on your invoice. Online Billing Manager can be used to print out data usage reports over any time period. You may also want to consider also only using WiFi data.

Each User has a bundle allowance of 50MB of Roaming Data for browsing the internet on their phone (the “Daily Bundle”). Daily Bundles are not compatible with any other Data Roaming Bundle, promotion or offer. Users who chose not to benefit from the corporate Data Traveller Daily Bundle may take advantage of other data roaming bundles.

 

Users will only be charged for a Daily Bundle on the days that the User uses data whilst roaming therefore there is no daily charge applied when the User does not roam. Charges incurred whilst Roaming may be billed several months in arrears. Any usage over and above the Daily Bundle allowance of 50MB will result in the User being automatically provisioned with another 50MB daily bundle; for example, 75MB of data used in a day whilst roaming in Europe* will result in a daily charge of £8, 125 MB of data used in a day within Europe* will be charged at £12.

 

Unused data from your Daily Bundle will not roll over into the next day. For the purpose of this Plan, a day begins at 00:00:00 hours and ends at 23:59:59 hours, using local time in the location in which the User first uses data on that day. Each session of data Roaming usage is rounded up to the nearest kilobyte. No credit will be given for any unused data roaming in a Daily Bundle.

 

Corporate Data Traveller works in all areas where EE has data roaming agreements in place.

 

Users can use their Daily Bundle whilst Roaming for GPRS, 3G and HSPA and browsing the internet (subject to availability) using their Device or EE data card. Daily Bundles do not include event Charges such as Charges for download of ring tones or games, and do not include the use of any data services for which additional charges apply.

 

If you know that your data usage is going to be a lot less than 50MB per day, you may consider the following bundles. This will replace the Corporate Data Traveller. However should you exceed these bundle limits you will be charged the full out of bundle rate.

Who is the school's mobile telephony supplier?

The School's contracted supplier for mobile telephony is EE.

 

EE is the new trading name of the company, formerly Everything Everywhere and the company behind Orange and T-Mobile.

How long is the supplier contract for?

New device contracts are usually established for a period of 24 months.

 

If the school's contract with EE terminates before the individual device contract then a fee is payable to cover the difference. This fee is clearly shown in the total cost of ownership calculation in the Mobile Equipment Declaration Form(.xlsx)

My phone or device has stopped working what should I do?

Please report the problem to Orange on 07973 100 158 (158 from your mobile) or the Telecoms team for support. Any connection issues are best reported on the day, as Orange cannot diagnose faults that are not current due to access to the network. Email telecoms@lse.ac.uk and provide your name, extension number, department, mobile number and a description of the problem. If you do not have access to email, you can phone 020 7107 5039 (an out-of-hours voicemail service operates).

 

If we cannot resolve the problem and your device needs to be replaced, we will determine if your device is still under warranty. If it is, then we will arrange for your device to be replaced free of charge. If the warranty has expired, your department will need to purchase a replacement device for you. A price list is obtainable from telecoms@lse.ac.uk.

 

If it becomes apparent that your SIM card is faulty, this will be replaced free of charge by EE.

 

You will need to remove the SIM card and keep it safe. Contact IMTso that we can arrange for the courier to exchange your old device for a replacement:  telecoms@lse.ac.uk

Can I get an upgrade?

Upgrades may be available during the contract term but would incur additional cost (the handset upgrade price is significantly higher than the new connection cost).

 

As your current device may be discontinued, please discuss your requirements with your IT Service Desk. Your needs may have changed and they will be able to recommend a suitable new device.

 

In all cases, the 'old' handset must be returned to Information Management and Technology. Please keep your SIM card safe as your support team will require this to configure your new device.
