Set up Outlook 2011 on a personally owned Mac (Staff and PGRs)

Introduction

Staff and postgraduate research students are being upgraded to the new Exchange 2010 email server|. This guide describes how staff can access their LSE email account from a personally-owned computer using an exchange connection. This type of connection synchronises your email, calendar and task list, and provides access to the global address list.

Please note: synchronisation can take a long time to complete, particularly when the connection to the server is first set up. The exact time will depend on the connection speed and the amount of data you have stored.

Requirements

You should be familiar with Mac OS X and Outlook 2011. You should have an active Internet connection.

Set up Outlook 2011

  1. Open Outlook 2011 from the Applications folder in the Finder
  2. On the menu bar at the top of the screen, click Outlook and then Preferences...

  3. The Preferences... window will appear. Click the Accounts icon, in the Personal Settings section
  4. In the Accounts wndow, click the + icon in the bottom left-hand corner and then click Exchange...

  5. In the drop-down window that appears next, enter your LSE nework account details as follows:
    • In the Email address: box, enter you LSE email address
      For example: if your name is Joe Bloggs, your email address might be j.bloggs@lse.ac.uk
    • In the Authentication section, ensure Method is set to User Name and Password
    • In the User name: field, enter your LSE username, preceded by LSE\
      For example: if your name is Joe Bloggs and your username is BLOGGSJ, enter LSE\BLOGGSJ in this field
    • In the Password: field, enter your LSE Network Password
    • Ensure that the Configure automatically box is ticked

  6. Finally, click Add Account and your eccount should be set up automatically. You can then close the window. You may need to Quit and reopen Outlook 2011 in order for your email, contacts and calendars to begin syncing

Troubleshooting

My details won't configure automatically

If your computer cannot detect the details of our mail servers automatically, you can untick the Configure automatically tickbox from Step 5 above, and enter the details manually.

  1. Untick the Configure automatically tickbox from Step 5 in the instructions above
  2. In the Server: field, enter exchange.lse.ac.uk
  3. Click Add account. The window will close.

  4. In the Accounts window, click on the account in the left-hand section of the window and then click Advanced...

  5. In the  Microsoft Exchange section, in the Server field enter the addresses below according to your surname:
    • For staff with surnames starting A - F, enter
      https://excas1.lse.ac.uk/EWS/Exchange.asmx
    • For staff with surnames starting G - P, enter
      https://excas2.lse.ac.uk/EWS/Exchange.asmx
    • For staff with surnames starting Q - Z, enter
      https://excas3.lse.ac.uk/EWS/Exchange.asmx
  6. In the Microsoft Exchange section, ensure that:
    • Override default port is unticked
    • Use SSL to connect (recommended) is ticked
    • Download headers only is unticked
  7. In the Directory Service section, in the Server: field, enter AS4.lse.ac.uk
  8. In the Directory Service section, ensure that:
    • Override default port is unticked
    • Use SSL to connect (recommended) is unticked
    • Log in with my Exchange account credentials is ticked
    • Maximum number of results to return is 1000
  9. Click OK and close the window. You may need to restart Outlook 2011 in order for synchronisation to begin.
